1. Scope
This policy describes how HerdVerified collects, uses, stores, and shares information across accounts, verification, listings, inquiries, notifications, and safety review.
2. Information we collect
- Account information: name, email address, password credentials handled by our authentication service, and account role.
- Buyer profile data: contact details, buyer verification information, saved listings, and inquiry history.
- Provider profile data: business or organization details, public profile content, listings, and placement practices.
- Verification information: identity, business and licensing, health documentation, genetic screening, and pedigree documentation you choose to submit.
- Private verification documents uploaded for review.
- Inquiries and messages exchanged through the Platform.
- Reports you submit and safety records associated with your account.
- Internal notes created by authorized staff during review.
- Usage and device information such as browser type, pages visited, and session/cookie data used to keep you signed in.
3. Private verification documents
Private documents are used for review only. Raw private documents are not publicly displayed on the marketplace, listing pages, or provider profiles.
Public-facing profiles show verification status and category-level results, not the underlying documents. Access is limited to authorized personnel. You must have the right to submit any document you upload.
4. How we use information
- Operate accounts, listings, verification review, and the inquiry system
- Display verification status and public profile content you choose to publish
- Send transactional and notification emails tied to your account activity
- Investigate reports, prevent fraud, and enforce our policies
- Improve the reliability and quality of the Platform
We do not sell your personal information.
5. Email and in-app notifications
We send notifications about verification progress, listing status, inquiries, contact release, and safety review outcomes. Notification records are stored with your account so in-app and email history stay consistent.
7. Storage and security
Account and verification records are stored with row-level access controls so users can only reach their own records. Private documents are stored in non-public storage. We apply reasonable technical and organizational safeguards, though no system can be guaranteed fully secure.
8. Retention
We retain information for as long as your account is active and as needed for the purposes described here. Certain records — including safety reports, moderation history, and paused or archived listings — may be retained in internal history after deletion of public content.
9. Your rights and choices
You may request access to, correction of, or deletion of your information, and you may request account closure, by emailing hello@herdverified.com. We will respond as required by applicable law, subject to records we must retain for safety, legal, or fraud-prevention reasons.
10. Children and minors
HerdVerified accounts are for adults 18 and older. We do not knowingly collect personal information from children. If we learn that a minor created an account, we will remove it.
11. Changes to this policy
We will update this policy as features launch and will note the effective date of any material change.
